30-Day Cancellations of Monthly Plans

What is a 30-day cancellation, and how do I process one?

Cancellation Calculation Summary -

  1. Deposit 
    1. Customer will receive their deposit back as a Credit
  2. Final Charge or Credit = Total Paid (Minus Deposit) - Total Lesson Cost  
  3. Final Balance = Final Charge or Credit + Deposit amount

This calculation will ensure the customer received their deposit back & has paid for all lessons within their plan period, including 30-days notice.

How do I cancel a Monthly Plan?


  • Navigate to the Customer
  • Select the Plans tab
  • On the plan that needs cancelling, click on the "X" button

  • This opens the cancellation window

  • Select Date Notice Given and click Refresh Button
    green button
    • This is limited to 7 days in either direction
    • If you don't click the refresh button the charges and credits will not adjust
  • Select Cancellation Reason
  • Add extra Feedback
  • Choose the Date of the last lesson the consumer will attend

NOTE: The number next to the date shows how much the customer will be charged extra to cover all lessons up to the end of the 30 days notice period. Dates that fall within 30 days will all have the same charge. 

 

If lessons are available beyond their 30 days notice, the chargeable amount is adjusted accordingly.

Summary

The Summary shows:
  • Starting Balance
  • Charges Applied
  • Credits Applied
  • Final Balance

What happens after the cancellation?

  • Their deposit credit is applied.
  • Their final 30-days notice charge/credit is applied.
  • The Consumer will be removed from the register for all lessons after the chosen "Last Lesson" date 
  • The Consumer's rollover status will be changed to "No" and they will be removed from the Class > Consumers list overnight.
  • The Customer will receive a confirmation email
    • see Franscape Settings > Email Templates > Monthly Plan Cancellation Confirmation (Customer)
  • The franchisee will receive an email
    • See Franscape Settings > Email Templates > Franchisee confirmation that consumer cancelled the plan

30-Day Cancellation Example

 EXAMPLE - 

Calculations

  • Plan Start Date: 15th September 
  • Notice Date Given: 1st November
    • The 30-days notice period will cover all lessons until the 30th November.
  • Total Lesson Cost: £150.00
    • Calculating all lessons where the consumer is on the register, between 15th September - 30th November
  • Total Paid Calculation: £125.00 
    • Calculating all payments made under this plan, MINUS the deposit amount.

Transactions applied:

  • Final Charge/Credit: £125.00 - £150.00 = £25.00 Under Paid
    • If under paid, a final charge is added Customer's FranScape Account.
    • If over paid, a final credit is added Customer's FranScape Account.
  • Deposit: £40.00 
    • Is added as a credit to the Customer's FranScape Account
