Contact Customers via SMS & Email (Bulk)

Contacting Customers in bulk via SMS and/or Email is available in a number of places on Franscape:
  • The main Customers table
  • Classes > View Class > Consumers Tab
  • Instructors > View Instructor > Classes
  • Venues > View Venue > Members Tab
  • Venues > View Venue > Customers Tab
  • Medical Up-to-Date Report
  • Outstanding Balance Report

How to Send an Email/SMS

Depending on what you're trying to achieve, navigate to the required page in Franscape
  • Contact all/some of my Customers - The main Customers table
  • Contact the Customers of a specific Class - Classes > View Class > Consumers Tab
  • Contact the Customers of Classes for a specific Instructor - Instructors > View Instructor > Classes
  • Contact the Members of a Specific Venue - Venues > View Venue > Members Tab
  • Contact the Active Customers of a Specific Venue - Venues > View Venue > Customers Tab

PLEASE NOTE: Use the available filters on the tables to filter the customer list. Franscape will only Email/SMS the filtered Customers. CHECK THE NUMBER OF RECIPIENTS BEFORE CONTINUING

  • Select the Contact Customer(s) button

This opens the communication window

Contact 265 customer

  • Select EmailSMS or both (I'll use both for this example)

  • Enter your message Content
    • You only need to enter the main body of the email, Franscape automatically adds:
      • Hi <Customer First Name>
      • Kind Regards, <User Name>
      • Franscape <Franchise Name> 

NOTE: These emails and SMS are plain text only. DO NOT enter any unusual icons or emojis. The emails can be written in Word or Outlook first using basic formatting (standard bullet points for example) then copy/pasted in.

NOTE: A single SMS has a character limit of 160 characters. Anything that goes over this is counted as, and charged as, multiple messages.
You can enter different message content for each medium.
FranScape does not count the characters as you type (yet), so it would be useful to write your message in Word first if you need to check the character count. 
 

PLEASE NOTE: System emails are sent from a "No Reply" email address. We recommend you add the following paragraph to the bottom of your Email text:


"This email is from a "No Reply" outbox and direct replies are not monitored. If you have a query please contact us at (Your Contact Email Address)"

  • Click Send Communication

Message Logs

To view the send logs for SMS messages go to Logs > SMS. Each entry is a message sent. When you open the entry it displays a list of recipients, including the phone number the SMS was sent to and the send status.

Email logs of these messages can be viewed in Logs > Email as normal.
