Processing Gift Codes

How do I process a gift code when accepting a booking?

Little Starts gift cards can be used to pay towards services throughout the network.

How can they be used?

  • PIA - You can apply a discount at the point of booking.
  • Monthly - You can add a credit, which can be used on their first monthly payment.

Processing Gift Cards - PIA Bookings

  • Use Phone Bookings to start their booking.
  • In the Cost tab, add a fixed discount of the same amount

  • In the Payment tab, Copy & Paste the Gift Card reference into the payment notes field

  • Finish processing the booking

What if the booking cost is lower than the Gift Card amount?

  • Apply a discount of the full booking amount
  • Complete the booking
  • Add the remainder of the Gift Card amount to the Customer as a Credit 

Processing Gift Cards - Monthly Plan Bookings

NOTE: Gift Cards cannot not be used on their Monthly Initial Payment.

They will take effect on the customer's first scheduled monthly payment.

  • Add the Gift Card amount to the Customer as a Credit
    • Select Reason - Gift Card
    • Paste the reference number in the transaction notes

Refunds from Gift Card Purchases

What if a Customer pays for lessons using a Gift Card, then cancels those lessons?:

  • PIA: Customer cancels before attending lessons
    • Add the Gift Card amount back onto the Customer's account as a Credit
  • Monthly Plan: Customer cancels before attending lessons
    • Add the Gift Card amount back onto the Customer's account as a Credit
  • PIA: Customer cancels after attending lessons
    • Add the Gift Card amount back onto the Customer's account as a Credit MINUS the cost of lessons already attended
  • Monthly Plan: Customer cancels after attending lessons
    • Add the Gift Card amount back onto the Customer's account as a Credit MINUS the cost of lessons already attended

In refund situations, always use up gift Card credit first
