Should I Rollover my Course?

Use this quick, clickable decision tree to decide if and how you should use the Rollover feature — including whether to carry consumers (customers) and when charges will be applied.

1) Do you want to extend your current course into a new term?

No rollover needed.

If you're not continuing this course next term, you can close it out as normal.

Use the Rollover feature.

Rolling over will copy your course setup (schedule, capacities, pricing, etc.) into the next term. Next, decide what should happen to existing consumers (customers).

2) Do you want customers to auto re-enrol?

Rollover, but untick Copy Consumers.
  • Existing customers won't be carried into the new term.
  • The new term remains clean for fresh enrolments or manual invitations.

New customers can book the upcoming classes directly via your website, or by using a class-specific link.

Rollover and ensure Copy Consumers is enabled.

Your existing customers will be automatically re-enrolled into the new term. Charges for these consumers are created at the moment the rollover runs.

Side note: You can still share booking options for new customers via your website or Direct Class Links.

3) Do you know when you want these consumers to be charged?

Schedule your rollover externally, then process it in Franscape on that date.
  • Charges are automatically applied at the moment of rolling over.
  • Set a reminder or note in your external calendar for the date you want invoices or card payments to be issued.
  • On that date, open the Rollover dialog in Franscape and complete the process manually.

Tip: Franscape's Outstanding Balance Report runs every Monday at 5 pm. Avoid rolling over on a Monday to prevent multiple emails being sent to customers.

Hold fire on your rollover.
  • Charges are applied immediately when you roll over.
  • Wait until you've confirmed your charge date before triggering the rollover.

Always check your finance and communication settings before running the rollover.
